Happy New Year! We're kicking off 2026 with our biggest monthly update yet—88 improvements that came directly from your feedback and real ministry needs. Whether you're a solo pastor juggling everything or leading a large care team, these updates are designed to help you serve your people more effectively while keeping the important stuff from falling through the cracks.

Simpler Setup, Smarter Organization

We've streamlined several behind-the-scenes elements to make CareNote more intuitive from day one. User roles have been simplified from 4 to 3 (Administrator, Team Member, Volunteer), eliminating confusion about permissions while keeping the flexibility you need. The new intelligent CSV header mapping means importing your existing member data is now virtually automatic—no more wrestling with column names or reformatting spreadsheets.

For multi-site churches, campus assignments with default profile filters ensure your staff only see the people they're actually caring for. It's a small change that makes a huge difference in staying focused on your specific ministry context.

More Intentional Care Conversations

Household-focused care stories now give you the full family picture in one place. Instead of tracking individual interactions in isolation, you can see how your care for parents, kids, and extended family members connects over time. This is especially powerful for complex family situations where multiple staff members might be involved.

The redesigned interaction forms are cleaner and more intuitive, with smart pre-filling that saves time when logging visits or follow-ups. When you're adding an interaction from a dashboard assignment, the form already knows the context—one less thing to remember when you're focused on ministry.

Follow-up reminder notifications ensure important conversations don't get lost in busy seasons. Set a reminder when someone needs a check-in call in two weeks, and CareNote will make sure it happens.

Expanded Integration Power

Your church management system integrations just got significantly more powerful. We've upgraded ChurchSuite to their latest OAuth2 v2 API for more reliable syncing, and added PCO list imports with tag and group support—perfect for automatically creating care groups based on your existing small groups or ministry teams.

The new Integration Hub displays all 9 church management system connections in one place, making it easy to see what's possible and get connected quickly. For Planning Center users, webhook-based sync means your care data updates in real-time as people join groups or submit forms.

Workflow automation for PCO form submissions takes this further—when someone fills out a prayer request or care need form, CareNote can automatically assign it to the right person and create the interaction record. Less manual data entry, more time for actual care.

Enhanced Communication & Follow-Through

Web push notifications keep your care team connected even when they're not actively in the app. Get notified about urgent care requests, assignment updates, or follow-up reminders right in your browser.

For teams ready to level up their responsiveness, SMS care request acceptance (part of our CareNote Plus features) lets volunteers respond to care assignments directly from their phones. A simple text reply can accept an assignment and notify the rest of the team instantly.

Smart load-balanced on-call assignment ensures care requests get distributed fairly among your volunteers, preventing burnout while maintaining quick response times.

CareNote Plus: Advanced Ministry Tools

This month also marks the official launch of CareNote Plus—our premium add-on with advanced features for churches ready to take their care ministry to the next level. Plus includes everything mentioned above related to SMS notifications, advanced PCO integrations, volunteer report confirmations, and much more.

We've designed Plus with tiered pricing that scales with your church size, and we're offering partial legacy access to existing customers as you consider upgrading. The Plus management dashboard gives team owners complete visibility into feature usage and team capacity.

Better Insights & Reporting

Care Team Activity Reports now include date range filtering, making it easier to prepare monthly or quarterly ministry reviews. The Smart Triage service analyzes your care patterns and highlights people who might need extra attention—think of it as a gentle nudge toward proactive ministry.

For churches with multiple campuses or care teams, granular feature access means you can enable different capabilities for different groups while maintaining centralized oversight.
