CareNote Updates – December 2025

Ministry team exploring new CareNote pastoral care software features on digital devices
A ministry team discovers new CareNote features designed to streamline pastoral care and improve collaboration in December 2025's major platform update.

As we close out 2025, we're thrilled to share 56 meaningful improvements to CareNote that came directly from your feedback and ministry needs. This month brought some of our most requested features—from smarter workflow automation to powerful new integration capabilities that help you spend less time on administration and more time caring for people.

Every update reflects real conversations with pastors, care team leaders, and church staff who've shared what would make their ministry more effective. Let's dive into what's new.

Streamlined Care Management

Caring for people shouldn't require juggling multiple systems and losing track of important details. This month, we've made significant improvements to help you stay organized and responsive:

Unified Care Timeline: We've consolidated all care interactions—visits, calls, prayer requests, and notes—into a single, chronological timeline. No more switching between different sections to understand someone's full story. Everything flows together naturally, giving you complete context at a glance.

Smart Care Request Routing: Care requests now automatically progress to "In Progress" when team members add notes, eliminating the manual status updates that often get forgotten. We've also added cleanup tools to handle duplicate requests from form imports—because administrative headaches shouldn't distract from actual care.

Enhanced Profile Management: The new UI-based profile merge tool makes it simple to combine duplicate records without losing important history. Plus, you can now log visits directly from any profile with auto-prefilled details, saving precious time during busy ministry seasons.

Powerful Team Collaboration

Ministry happens through teams, and we've built features that help your care team work together more effectively:

Card-Based Layouts: We've redesigned tasks, activities, and notes with clean, card-based layouts that make information easier to scan and process. Whether you're reviewing someone's care history or planning next steps, the important details stand out clearly.

Bulk Actions for Efficiency: Need to archive profiles by affiliation or assign care providers to multiple group members? New bulk actions handle these common administrative tasks in seconds instead of minutes.

Real-Time Notifications: Your team now receives immediate alerts for care request updates, task assignments, and milestone reminders. Plus, daily beacon reports arrive at 6:30 AM in each user's local timezone—no more missing important updates because of scheduling confusion.

Seamless Church Management Integration

Your church management system contains invaluable information, and we've expanded our integration capabilities to make that data work harder for your care ministry:

ChurchSuite Integration: Direct contact sync brings your member information into CareNote automatically, eliminating double-entry and ensuring your care team always has current details.

Enhanced Planning Center Integration: Real-time webhook processing means changes in PCO appear immediately in CareNote. We've also added parallel batch processing for faster initial imports and comprehensive health checks before any account changes.

CCB Profile Sync: Church Community Builder users can now sync profile information directly, creating a seamless flow between your membership system and care management.

Smarter Workflows and Automation

The best care systems work quietly in the background, surfacing what matters most when you need it:

Enhanced Workflow System: Automated task assignments and notifications ensure nothing falls through the cracks. When someone submits a care request or reaches a significant milestone, the right team members are notified automatically.

Expense Tracking with Multi-Person Tagging: Track care-related expenses while attributing costs to multiple people or situations—perfect for family care scenarios or group ministry expenses.

Intelligent Dashboard: The new "Needs Attention" queue surfaces the most important items first, while the improved "Stay in Sync" widget keeps your integrations running smoothly.

Better User Experience

Sometimes the most impactful changes are the ones that make daily tasks just a little bit easier:

Demo Mode and Onboarding: New users can now explore CareNote through personalized demo experiences that match their specific ministry context—whether they're solo pastors, large church care teams, or somewhere in between.

Privacy and Permissions: Comprehensive privacy controls ensure sensitive information stays appropriately confidential while still enabling effective team collaboration.

Enhanced Error Handling: Custom error pages and improved logging help us identify and resolve issues quickly, keeping your ministry tools running smoothly.

These 56 improvements represent hundreds of hours of development driven by your real ministry needs. From solo pastors managing small congregations to large church care teams coordinating complex situations, every feature reflects feedback from church leaders who are using CareNote to serve their communities well.

We're grateful for every conversation, feature request, and piece of feedback you've shared. Your insights don't just improve software—they help us create tools that serve the Kingdom more effectively.

As we head into 2026, we'd love to hear what's working well and what could work better. Whether you're celebrating a care ministry success story or wrestling with a challenge we might help solve, reach out to our team. Your ministry matters, and we're honored to support it.
